Client Red Flag Reporting System

After many years in this industry, I’ve learned to recognize client red flags fairly quickly. However, newer cleaners—and sometimes even managers—may hesitate to speak up about uncomfortable situations because they want to avoid conflict or feel that the incident was not serious enough to report.We strongly discourage that within our organization. Not every client is the right client, and protecting our technicians in the field has to remain a priority.We have created our own internal “checkpoint tracker” system where cleaners can place a red flag emoji on a client’s profile along with a corresponding code. The code identifies whether the client violated a company policy, created an uncomfortable working environment, or had another negative interaction that management may need to review before continuing service.Although we have an SOS button for urgent situations, it is rarely used because most concerns are not immediate emergencies. More commonly, our technicians experience issues such as excessive micromanaging, nonstop conversation that prevents them from working efficiently, severe biohazards, a client blocking an exit, inappropriate behavior, or simply an interaction that makes them feel unsafe or uncomfortable. These smaller incidents can add up over time and should not be overlooked.Would it be possible to add a reporting option directly within the client’s profile that is visible and accessible to the cleaners? Ideally, the cleaner could select the type of concern, provide a short explanation, and submit it as an incident report. Once submitted, the report could automatically be sent to the office so management can review the situation and take precautions or action immediately.Our goal is to prevent concerning clients from remaining on the schedule simply because an employee was afraid or unsure about speaking up.
